For more than 60 years, the Lawrence Livermore National Laboratory (LLNL) has applied science and technology to make the world a safer place.

We have an opening for an Administrative Specialist IV. You will perform a full range of advanced, complex and difficult secretarial and administrative assignments in support of GS high level visits, conferences, events and outreach. You will frequently interact with high-level Laboratory management, LLNS Board of Governors, LLNL Protocol Office, as well as VIP visitors to include officials and representatives from various government agencies, academia and private sector.  This position is in The Global Security (GS) Directorate Events and Outreach Office (EOO).
Essential Duties
- Represent the EOO in daily interactions with all levels of Laboratory personnel internally and externally to LLNL. Independently clarify, coordinate, communicate and disseminate information on behalf of the EOO Office.
- Plan and coordinate conferences, workshops, and technical events, with high level interaction with the EOO.
- Manage complex and confidential calendars with full authority to commit time and independently set priorities.
- Create conference websites utilizing the CVENT Online Registration Tool.
- Oversee arrangements for local, domestic, and international travel, involving complex itineraries and incorporating and rescheduling as priorities evolve and change.
- Plan, organize, and coordinate arrangements for visitors to include foreign nationals and consultants.
- Assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues independently.
- Establish business goals and set priorities for visits, working closely with the EOO.
- Perform other duties as assigned.
- Demonstrated advanced administrative and secretarial support to management, including fast, accurate typing, and advanced writing, proofreading, editing and grammar skills.
- Demonstrated advanced computer skills, including proficiency preparing correspondence, presentations, processing travel vouchering, and spreadsheets.
- Demonstrated advanced written and verbal communication skills necessary to interact tactfully and effectively with a diverse workforce and represent the office with all levels of management, both internal and external to the Laboratory.
- Demonstrated advanced organizational skills with experience prioritizing multiple and complex tasks, and work effectively in a fast paced environment with short deadlines and frequent interruptions.
- Demonstrated ability to be flexible in work assignments and under time constraints on simultaneous and conflicting priorities.
- Experience working effectively under minimal supervision within an environment with frequent interruptions and changing deadlines, instructions and priorities.
- Demonstrated knowledge of appropriate handling of sensitive and classified documents; experience effectively utilizing mature judgment, diplomacy and tact while working with sensitive issues.
- Experience interacting with all levels of personnel exercising a high degree of discretion, mature judgement, and tact in handling issues of a sensitive nature.
Desired Qualifications
- Demonstrated advanced computer skills, including proficiency with LLNL standard software packages (e.g., VTS, LEAP, Catering, FTS). Experience working with CVENT online registration tool.
- Experience in a scientific or technical program.
- Broad, institutional knowledge of the Laboratory and its programs.

Pre-Employment Drug Test:  External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.

Security Clearance:  This position requires a Department of Energy (DOE) Q-level clearance.

If you are selected we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. In addition, Q cleared employees are subject to random drug testing.  If you hold multiple citizenships (U.S. and another country), you may be required to renounce your non-U.S. citizenship before a DOE Q clearance will be processed/granted.

Note:   This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
