For more than 60 years, the Lawrence Livermore National Laboratory (LLNL) has applied science and technology to make the world a safer place.

We have an opening for a Visiting Scientist and Professional (VSP) Program Coordinator. You will work in a fast-paced, service-oriented environment where you will serve as the primary point of contact for the VSP program and review and process requests and agreements for LLNL's VSP program. You will also serve as backup to the Academic Cooperation Participant (ACP) Program. This position is in the Talent Acquisition Division.

Essential Duties
- Serve as the primary point of contact for all VSP Program requests to ensure all requests meet the Laboratory's requirements and follow a smooth and efficient process.
- Review Basis of Estimates (BOE) for requested VSP travel, ensuring all requested reimbursements are appropriate and allowed under the VSP and Travel policies.
- Approve and track VSP reimbursements submitted to Travel to ensure they meet the allowed itemized BOE for that specific VSP and do not exceed the approved amount; partner with Supply Chain Management (SCM) Department on BOE’s that exceed the VSP Coordinator assigned approval limit.
- Collaborate with SCM Department to ensure that the VSP Program is administered properly, certifying that the documentation is complete and accurate. In addition, prepares documentation to SCM who conducts a yearly VSP audit.
- Work closely with and respond to questions from the Intellectual Property and Ethics/Conflict of Interest (COI) Office that arise during the review of VSP requests.
- Participate in client meetings, create presentations, and assist in the preparation of training sessions. Generate complex reports for Senior Management as requested.
- Independently review VSP descriptions and other required statements for accuracy, formulate questions and make recommendations to customers.
- Participate in Strategic Human Resources Management Directorate-specific projects and process improvement initiatives.
- Perform other duties as assigned.

Qualifications
- Experience working in a service environment utilizing advanced customer service skills to maintain effective working relationships with external collaborators, retirees and internal customers.
- Experience providing specialized and advanced administrative support in a customer focused environment.
- Experience compiling, tracking, monitoring, resolving, and reporting data and results.
- Advanced organizational skills to manage and complete complex tasks with frequent interruptions, changing priorities, and short deadlines while maintaining accuracy.
- Excellent interpersonal skills and professional demeanor to effectively interact with others using tact, discretion and mature judgment.
- Advanced computer skills and experience using Microsoft Office applications including email, presentation, and calendaring applications.
- Advanced verbal and written communication skills to present and explain processes, work in a team environment, and compose correspondence.

Pre-Employment Drug Test:  External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.  This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance:  This position requires a Department of Energy (DOE) L-level clearance.

If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter.  In addition, all L or Q cleared employees are subject to random drug testing.  L-level clearance requires U.S. citizenship.  If you hold multiple citizenships (U.S. and another country), you may be required to renounce your non-U.S. citizenship before a DOE L or Q clearance will be processed/granted.

Note:   This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
