We are looking for an Administrative Specialist to support the senior leadership team in a mission critical Intelligence Program. You will be a key part of your team's business operations and activities and the force that drives them towards achieving their goals. To resolve operational and administrative needs and ensure your team’s success, you will need to anticipate possible road blocks and contribute solutions for execution. You will be adaptable in a dynamic environment to strategically support your team's projects. In addition to being well-organized and methodical, your strong communication skills will be needed to interact with a variety of people and job functions with an experienced business perspective to contribute. This position is in Global Security Directorate’s Z Program.

Administrative team members are key to not only the Laboratory but also to our nation’s national security.  Administrators lead, manage and support a variety of projects, which requires the them to be versatile to work with all levels of the organization.

Essential Duties
- Perform an extensive array of complex and difficult administrative tasks (e.g., manage calendars, book global travel, process expense reports, arrange meetings and team events, and coordinate complex security requirements).
- Act as a focal point for the program office, representing the program’s senior leadership in daily matters and respond on their behalf to all levels of management.
- Partner regularly with the Laboratory’s Protocol Office staff to coordinate high-level visits conducted within the Program facility.
- Prepare classified and unclassified correspondence, complex reports, and presentations using data from multiple sources.
- Take initiative to improve processes and procedures with little or no guidance.
- Research and interpret organizational policies and procedures.
- Maintain appropriate security in a Sensitive Compartmented Information (SCI) environment and ensure all tasks are performed in accordance with elevated security requirements.
- Independently solve problems of broad scope and complexity.
- Perform other duties as assigned.

Qualifications
- Experience providing high-quality professional administrative support to senior managers within a fast-paced team environment.
- Experience working independently under time constraints to meet critical deadlines.
- Ability to effectively communicate and collaborate with a diverse range of people and job functions.
- Excellent organizational skills, with careful attention to detail and the ability to handle multiple stakeholders and priorities.
- Demonstrated problem-solving and decision-making skills, mature judgment, flexibility, and reliability.
- Experience arranging complex clearance requirements in a variety of settings.
- Experience compiling, tracking, monitoring, resolving, and reporting data and results.

Desired Qualifications
- Experience handling and protecting classified information.
- Experience leading teams and/or small projects.
- Experience interpreting and applying LLNL policies and procedures.

Pre-Employment Drug Test:  External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.  This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance:  This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.  Also, you must have the ability to obtain and maintain Sensitive Compartmented Information (SCI) access.  Please note that your current active Q or Top Secret clearance with DOE or another agency does not guarantee DOE SCI access approval; if you are denied access, you may be subject to reinvestigation of your existing Q or Top Secret clearance.
