For more than 60 years, the Lawrence Livermore National Laboratory (LLNL) has applied science and technology to make the world a safer place.

We have an opening for a Coordinator to provide customer service and support to the Security Organization (SO). You will interact with all levels of management and staff to perform a combination of complex and difficult duties in a dynamic and fast paced environment with frequent interruptions and conflicting responsibilities which require independent judgment and follow-through. This position is in the Locks, Keys, and Tesa Group (LKTG) within the SO.

 

Essential Duties

- Represent management in daily matters to gather, clarify and disseminate information and coordinate information and activities.

- Serve as the LKTG Customer Service primary point-of-contact to independently answer a high-volume of security-related inquiries, resolve customer service issues, follow-through on requests, research and analyze information, determine appropriate course of action, make referrals and serve as a resource to interpret policies and procedures.

- Generate correspondence on own initiative and coordinate actions with multiple work units on time-sensitive matters to ensure compliance with policies and procedures, access controls and protection measures are followed.

- Establish and maintain complex databases, spreadsheets and tracking/filing systems. Perform data entry, maintain files, complete forms, track, monitor and reconcile data with detail and accuracy. Track actions to completion.

- Assess, develop and implement new office procedures in compliance with SO, LLNL and DOE policies, procedures and orders. Independently solve problems of broad scope and complexity.

- Manage the lost badge process for the LKTG, ensuring all security requirements are met, compose reports for management.

- Perform Tesa system queries, compile reports, upload data, and provide guidance and assistance Locks and Keys Custodians. Add and remove access by uploading TESA XPP controllers and locks utilizing Onity Database, ensuring all requirements are met for access control, utilizing MS Office, Outlook, LEAP, LOKM, PFDNow, TESA XPP Controllers, Onity Database.

- Perform other duties as assigned.

 

Qualifications

- Advanced problem-solving and decision-making skills to independently anticipate, identify, and recommend appropriate actions and solutions to administrative problems of broad scope and complexity.

- Self-motivated and flexible with experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.

- Excellent organizational skills and advanced attention to detail to manage and complete complex projects with accuracy and follow through.

- Experience exercising a high degree of discretion and mature judgment in handling business sensitive and/or classified information.

- Specialized knowledge of DOE orders specifically relating to the tracking and disposal of special high-risk, accountable items.

- Experience ensuring database integrity and accuracy, developing and implementing procedures, maintaining files, compiling, tracking, monitoring, resolving and reporting data and results.

- Excellent verbal and written communication and interpersonal skills necessary to interact tactfully and effectively with a diverse workforce.

- Advanced computer skills and experience with the Microsoft Office Suite and database and calendaring software, and the ability to learn new software quickly.

 

Desired Qualifications
- Experience or knowledge of LEAP, LOKM, PFDNow, TESA XPP Controllers, Onity Database.

Pre-Employment Drug Test:  External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.  This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance:  This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire. 

 

Note:   This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
