For more than 60 years, the Lawrence Livermore National Laboratory (LLNL) has applied science and technology to make the world a safer place.

We have an opening for an Office Manager. You will be responsible for supervising exempt and non-exempt administrative team members and will manage administrative activities. You will be required to deal with conflicting priorities, have a high degree of flexibility, organization, and discretion. This position will be in the Engineering Associate Director’s Office.

Essential Duties
- Supervise administrative staff to include: direct and assign assignments, provide input in hiring process, provide training and mentoring, write performance appraisals, and provide rank and salary recommendations to the Directorate Administrator.
- Oversee staff development, provide coaching and feedback on a regular basis.
- Serve as the Directorate point of contact (POC) for all hiring activity; responsible for communicating new and updated employment and compensation processes/requirements to the Directorate, accurate and timely reporting of Directorate personnel metrics.
- Serve as the Directorate personnel transaction (PAS) initiator and Salary Coordinator; process all salary transactions, act as resource to Directorate personnel on matters related to salary administration and the annual Compensation Increase Program (CIP); manage Directorate annual CIP budget.
- Attend Institutional meetings and represent Directorate as appropriate.
- Identify issues, independently resolve problems by developing and recommending solutions, and propose a course of action.
- Serve as a resource to Directorate personnel in safely returning employees to the workplace after short and long-term leaves; communicate policies/processes, work with varying levels of management, Staff Relations and Health Services staff members.
- Perform other duties as assigned.

Qualifications
- Experience leading and/or supervising employees and team building.
- Experience in handling sensitive personnel issues and progressive discipline strategies and understanding of HR compliance requirements for personnel administration (FLSA, ADA, EEO, etc.).
- Experience using HRIS and applicant tracking systems; knowledge of and experience interpreting and applying employment and salary policies and procedures.
- Demonstrated effective communication skills necessary to effectively explain, present, direct, negotiate, and influence others, and resolve difficult issues using creative problem-solving skills.
- Experience interacting with all levels of personnel internal and external, while exercising a high degree of discretion, mature judgment, and tact in handling personnel issues of a sensitive nature.
- Demonstrated accuracy, organization, and attention to detail; ability to develop, implement, and resolve day-to-day problems with frequent interruptions and conflicting deadlines and priorities.
- Demonstrated ability to analyze multiple variables, gather information without oversight, follow up on details, and anticipate problems.
- Advanced knowledge of, and experience working with software applications such as the Microsoft Suite and Adobe Acrobat.

Desired Qualifications
- Bachelor’s degree in Business Administration or related field or demonstrated progressive competence obtained through a combination of experience and education/training.
- Knowledge and experience in interpreting and implementing LLNL policies, procedures, and practices.
- Demonstrated understanding of the Engineering Directorate.

Pre-Employment Drug Test:  External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.
 

Security Clearance:  This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire. 

 

Note:   This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
