For more than 60 years, the Lawrence Livermore National Laboratory (LLNL) has applied science and technology to make the world a safer place.

We have an opening for an Office Administrative Assistant.  Under minimal supervision, you will perform a full range of complex and difficult administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities which require independent judgment and follow through.  This position is in the Livermore Laboratory Employee Services Association Office (LLESA).

Essential Duties
- Represent management in daily matters by gathering, clarifying and disseminating information, coordinating activities, and serving as a resource for LLNL and LLESA policy and procedure interpretation.
- Respond, on behalf of LLESA management team, to administrative matters both internal and external to the Laboratory including independently composing and generating correspondence which my be sensitive in nature.
- Manage the LLESA dicount program.
- Manage the creation, sourcing and production of branded promotional merchandising items (such as: shirts, pens, notepads, etc.).
- Develope content, layout, and design of marketing materials, presentations, website graphics, e-blasts and other marketing communications utilizing various software such as PowerPoint.
- Provide website maintenance, including social media presence, updates, analytics, content development and conduct online surveys.
- Manage complex calendars which includes independently determining scheduling priorities.
- Serve as an administrative team member and assist with special projects and events including coordinating on-site visits, preparing access badging requests, developing agendas and disseminating information.
- Perform other duties as assigned.

Qualifications
- Advanced secretarial and administrative experience, including accurate keyboarding, editing, grammar, proofreading skills and advanced knowledge of office procedures, techniques, and methods.
- Experience developing promotional material and marketing collateral.
- Experience working in an environment of rapidly changing priorities, deadlines, and frequent interruptions.
- Demonstrated advanced communication, interpersonal, and customer service skills necessary to interact effectively with a diverse workforce and represent the Division and Program with all levels of management, internal and external to LLNL.
- Demonstrated problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Demonstrated ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgement in handling business sensitive and/or classified information, as well as personnel interactions.
- Advanced computer skills and experience with the various software applications, such as Microsoft Office Suite, Entrust, Adobe Acrobate, MindBody membership and the ability to learn new software quickly.
- Experience working independently and as part of a team.
